Understand task instructions

Learn about the different types of instructions offered by Limble

Written by Christy Umberger

Task instructions are the steps and actions a technician completes within a task.

You can choose from 14 instruction types to fit the needs of each task.

Collect information

Use these instructions to gather data, readings, or documentation from a technician while they work.

Checkbox

The checkbox is the most commonly used instruction type. Use it when you only need a technician to confirm they've done the work before moving to the next step.

Textbox

Use the textbox when you need a technician to answer a question or enter additional information.

You can optionally link the response to an asset field or asset log.

Number

Use the number instruction to track a metric on an asset, such as vehicle mileage, machine run hours, or equipment temperature.

Option list

Use the option list to create conditional instructions based on a technician's answer. The technician selects an option, and you can configure what happens next based on their choice.

For example, if a technician selects yes, you can require them to take a photo of the damage and start a work order. If they select no, no further action is needed.

Dropdown list

The dropdown list works similarly to the option list: a technician selects from a list of options, and you can configure what happens next based on their choice.

Attach image or file

Use this instruction when a technician needs to upload a file or photo; for example, a picture of an issue, a completed task, or a receipt.

Date picker

Use the date picker when you need a technician to enter a specific date, such as an inspection date or an expiration date.

Capture signature

Capture signature requires a technician to confirm their work with a signature.

Verify location

Verify location confirms a technician is at the correct location before they can complete a task. This requires maps to be enabled on your account.

This is useful for organizations spread across large areas, or for confirming that a vendor actually visited a site before completing work.

Verify location instructions can be used in the new desktop, but they must be configured in Limble legacy for now. This functionality is coming soon to the new desktop.

Trigger a workflow

Use these instructions to automatically start another action, such as creating a work order or requiring approval, from within the current task.

Assign PM

Assign PM automatically generates a PM when a technician reaches this instruction. Use it to schedule a PM that depends on another task being finished; for example, triggering a mowing PM after a wheel-bearing inspection is complete.

Choose which asset the new PM belongs to:

  • Use PM asset: uses the asset tied to the PM template you selected. If that template has no asset, Limble uses the asset from the parent task.

  • User chooses: the technician chooses the asset.

  • I'll choose: you choose the asset in advance.

Start WO

Start WO creates and assigns a work order from within an existing task. For example, during an audit, it may be important to assign follow-up tasks.

Choose the template selection method:

  • User chooses: the technician chooses the template.

  • I'll choose: you choose the template in advance.

Choose the assignee selection method:

  • User chooses: the technician chooses the assignee, either from all assignees or within their teams.

  • Suggest a user: you choose the assignee in advance, but allow it to be changed, if needed.

  • Force selection: you lock in the assignee in advance.

Choose the asset selection method:

  • Use WO asset: use the same asset as the parent task.

  • User chooses: the technician chooses the asset.

  • I'll choose: you choose the asset in advance.

Request approval

Request approval requires a technician to get sign-off from another user before continuing or completing a task. The approver can approve or deny the request.

Before submitting a request, a technician must log their time so Limble's reports stay accurate. If a request is denied, the technician must enter a reason, then redo and re-submit the work for another review.

Request approval instructions can be used in the new desktop, but they must be configured in Limble legacy for now. This functionality is coming soon to the new desktop.

Reassign task

Reassign task moves the task to a different user or team.

Choose the assignee selection method:

  • User chooses: the technician chooses the assignee.

  • Suggest a user: you choose the assignee in advance, but allow it to be changed, if needed.

  • Force selection: you lock in the assignee in advance.

Give context

Use this instruction to share guidance with a technician without requiring anything from them.

Note (read-only)

Use a note to give a technician guidance or context, such as a safety reminder or an explanation of a step, without requiring a response.
