Create work order templates

Create reusable templates for planned and unplanned work

You can create work order (WO) templates for one-time or unplanned work, and reuse instructions, parts, and assignments across every work order you create from the template.

Work order templates are created and managed in the template library.


Creating a work order template

  1. Go to the Templates page > Work orders tab.

  2. Use the site selector at the top of the page to choose the site for your templates.

  3. Click Create WO template.

  4. Enter a title.

  5. Optionally, choose to copy from an existing WO template.

  6. Click Continue.

  7. Enter the template details, including which assets it's associated with, who it's assigned to, custom tags, parts, and more.

  8. Click the Instructions tab at the top to add instructions.

  9. Click Edit instructions > Add instruction, then build out the template instructions.

  10. When finished, click Create template.

Use the site selector in the top header of the Templates page to control the Template library, not the site selector in the left navigation.

Preview the instructions

  1. From the Instructions editor, click the Preview Instructions toggle to review what a technician will receive when executing a task made from this template.

  2. Toggle back to Edit to continue editing.

Important to know: anything you do in preview mode is not saved. Changes don't persist between Edit and Preview, and nothing from the instructions preview carries over to tasks created from the template.

Some advanced instructions (such as starting a work order or capturing a signature) appear in preview but can't be fully tested there.
